Expenses

Record money going out — the primary way to log spend.

What is the Expenses screen?

Expenses is a filtered view of All Transaction showing only debit (money-out) records, with its own Add Expense form — the primary way to record spending.

Why does this matter?

This is where day-to-day spend gets entered, whether it's a one-off purchase or a recurring bill, in whatever currency it was actually paid in.

When would I use this?

  • Recording a purchase, bill, or payment to a vendor
  • Recording an expense in a foreign currency
  • Attaching a receipt or invoice to a transaction

Before you start

You need access to the Expenses screen under Finance → Inex. Have the Vendor, Source, and Category ready (or use the inline “+ Add new vendor/source” links on the form).

How to add a new expense

  1. Open Expenses

    Go to Finance → Inex → Expenses.

  2. Click Add Expense

    Click + Add Expense.

  3. Enter the amount and currency

    Enter the Amount and pick its Currency, plus a Transaction Date and Transaction ID.

  4. Choose vendor, source, category, and project

    Select an existing Vendor and Source (or create new ones inline), then a Category and Project. Toggle Calculate Tax, Tax Included in Amount, Asset, or Self Transaction if they apply.

  5. Attach files and save

    Optionally attach up to 5 supporting files (jpg, jpeg, png, gif, webp, pdf — 10 MB each), then click Create expense.

The expense table

Each row shows V.No, Date, Transaction ID, Vendor, Source, Category, Project, Amount (in your base currency), Original Amount, and Currency.

Recovering a removed record

Use View Trash at the top of the page to find and restore a record that was removed.

Common problems

Problem
The “Base amount” shown while filling out the form doesn't look converted.
How to fix it
This is a known display issue in the live preview panel — it can show the amount you typed with the new currency's symbol instead of the converted value. The amount that actually saves and appears in the Expenses table has been verified to convert correctly using the exchange rate on the Currencies page.

What happens if I enter an amount in a currency that isn't my base currency?
InEx converts it into your base currency using the exchange rate configured on the Currencies page, and stores both the original amount/currency and the converted base amount.
