Invoices

Import vendor invoices instead of entering them by hand.

What is the Invoices screen?

Invoices is the inbox for vendor invoices — whether uploaded manually or received by email — with automatic extraction of invoice number, vendor, category, date, amount, and tax.

Why does this matter?

Like Bank-Statements, this saves you re-typing invoice details by hand and gives you a review step (via the Draft or Duplicate screens) before they become permanent records.

When would I use this?

  • Uploading a vendor invoice you received
  • Checking whether an invoice was auto-approved or needs review
  • Looking up the line items or audit trail on a specific invoice

Before you start

You need access to the Invoices screen under Finance → Inex, and an invoice file to upload.

Reading the stats

ItemMeaning
Invoices ReceivedInvoices received this month.
Drafts CreatedInvoices turned into drafts, ready to review.
Pending ReviewInvoices still needing action.
Auto ApprovedInvoices approved automatically at high confidence.
DuplicatesInvoices detected as likely duplicates.
Failed ParsingInvoices that require a manual fix.

How to upload an invoice

  1. Open Invoices

    Go to Finance → Inex → Invoices.

  2. Click Upload Invoice

    Click Upload Invoice and choose your file.

  3. Review the result

    Open the invoice's detail view (Overview, Line Items, Audit Trail tabs) to confirm the extracted vendor, amount, and tax are correct.

The invoice table

Each row shows the invoice's Files, Status, Invoice #, Vendor, Company, Category, Date, Amount, Tax, Currency, Source, and Received date.

Common problems

Problem
An invoice's extracted amount or tax looks wrong.
How to fix it
Open the invoice's Line Items tab to check the extraction against the original file, and correct it manually if the automatic read was inaccurate.

What is Email Whitelist for?
It controls which sender email addresses are trusted to auto-import an invoice sent by email, instead of requiring a manual upload.
