Vendors

The people and companies you pay or receive money from.

What is the Vendors screen?

Vendors are the people or companies you pay or receive money from — used on every Income and Expense record.

Why does this matter?

Tagging transactions with a Vendor is what lets you answer questions like “how much have we spent with this supplier this year?” and keeps vendor tax details (GST/PAN/TAN) in one place instead of retyped on every transaction.

When would I use this?

  • Onboarding a new supplier or customer before recording a transaction with them
  • Looking up how much has been spent with a particular vendor
  • Reviewing or updating a vendor's tax or contact details

Before you start

You need access to the Vendors screen under Finance → Inex to add or manage vendors.

How to add a new vendor

  1. Open Vendors

    Go to Finance → Inex → Vendors.

  2. Click Create Vendor

    Click + Create Vendor at the top of the page.

  3. Fill in the vendor's details

    Complete Basic Information (name, email, contact, vendor type), Address Details, Tax & Compliance (GST/PAN/TAN, GST Treatment), and an optional Budget, then click Save Vendor.

The vendor table

Each row shows the Vendor name, Contact, Vendor Type, Country, and Total Spent. Use Select Columns to add or remove fields, and the search bar to find a vendor by name.

Recovering a removed record

Use View Trash at the top of the page to find and restore a record that was removed.

Common problems

Problem
I get a “Name must be unique” error when creating a vendor.
How to fix it
Vendor names must be unique across your organization — this also applies if the only difference is leading or trailing spaces. Search the existing vendor list first, or adjust the name slightly (e.g. add a location or division) if it's genuinely a different vendor.
Problem
I can't find a vendor I know I created.
How to fix it
Check View Trash, and confirm you're not filtering the list in a way that hides it.

FAQs

What happens to past transactions if I delete a vendor?
Deleting moves the vendor to Trash rather than deleting it permanently. If the vendor still has transactions linked to it, the confirmation dialog will tell you before you proceed.
