Segments, Tags & Lists
These three sound similar but do genuinely different jobs.
| Concept | What it is | Membership |
|---|---|---|
| Tags | A standardized vocabulary of short labels (e.g. "VIP", "Cold") applied directly to a lead | Manual, per lead — many-to-many |
| Lists | A named, curated roster of leads you build deliberately | Manual — you add/remove members explicitly |
| Segments | A saved filter ("everyone in Texas who hasn't opened an email in 30 days") | Dynamic — membership is whoever currently matches the filter |
Tags
Tags come from a shared dictionary (with an optional category like Industry, Persona, or Region) so the same idea doesn't end up spelled three different ways across your team. A lead can carry any number of tags.
Lists
A list is a static group you build by hand — add or remove leads explicitly. Good for "everyone we're inviting to this webinar" or "our top 50 accounts." Two lists can be merged into one, and a list can be archived once you're done with it.
Segments
A segment is a saved search, not a static group — it's evaluated fresh each time you open it, so a lead automatically enters or leaves a segment as their data changes. A segment can be kept private or shared with your whole team.
