Employee Master Data

A deeper HR record for every employee, beyond the basic Employee List.

What is Employee Master Data?

This screen is a detailed HR record for each employee — broader than the Employee List. It groups information into sections: Identity, Role, Attendance, Contract, Performance, Compliance, Management, and System.

Why does it exist separately from Employee List?

The Employee List is meant for quick day-to-day use (adding people, checking attendance for today). Master Data holds slower-moving HR information — employment type, job level, probation dates, increments, PF/ESIC/insurance status, and who someone reports to — that you'd look up less often but need to keep accurate.

When would I use this screen?

  • Checking someone's employment type (Intern, Full Time) or job level
  • Looking up when someone's probation ends or their next increment is due
  • Checking whether PF, ESIC or insurance applies to an employee
  • Finding out who an employee's manager or reporting manager is
  • Sharing an employee's public profile link

Before you start

You need access to the Employee Master Data screen. This is HR-level information, so access is typically more limited than the Employee List.

What each field group means

GroupWhat it covers
IdentityEID, Name, Email, Gender, Designation.
RoleSubsidiary, Employment Type (e.g. Intern, Full Time), Job Level, Status, Work Location, Shift Type.
AttendanceWhether attendance is required, weekly off days and count, grace time.
ContractJoining date, probation end date, last increment date and percentage, days until next increment.
PerformanceYearly performance score.
ComplianceWhether PF (Provident Fund), ESIC and Insurance apply to this employee.
ManagementManager and reporting manager.
SystemA public profile link for the employee (“View Link”).

How to view or adjust the columns you see

  1. Open Employee Master Data

    Go to Manpower → Teams → Employee Master Data.

  2. Narrow the list if needed

    Use Add Filter to filter the list, or the search box to find a specific person.

  3. Choose which columns to show

    Click Select Columns to show or hide specific fields — useful since this screen has more columns than fit on one screen.

Common problems

Problem
Some fields show a dash (“-”).
How to fix it
A dash means that field hasn't been filled in for that employee yet, not that something is broken.
Problem
The table is too wide to read comfortably.
How to fix it
Use Select Columns to hide the groups you don't need right now, or view this screen on a larger display.

FAQs

Can I edit fields directly on this screen?
This documentation only confirms viewing and column selection on this screen. If you need to change these fields, check whether an edit option is available to your account, or update the related basic details from Employee List.
What's the difference between Manager and Reporting Manager?
Both appear as separate fields on this screen. Exactly how your company distinguishes them depends on how your HR team has set up reporting lines.
What is the Public Profile Link for?
It's a shareable link to that employee's profile, shown as a “View Link” action in the System column group.
